As a Management assistant to our HR department, you will provide administrative, organizational and operational support directly to the Group HR Manager and her HR department team members.

Position & objectives:

Under the general direction from the Group HR Manager, this position is responsible for providing administrative support to her and the entire HR department. You will have a wide range of administrative, organizational and operational duties and responsibilities as below:

  • Timely process all administrative supportive tasks for the Group HR Manager and her HR team such as registration and filling of in and outgoing correspondence, meeting minutes and agenda management, car fleet management.

  • Assist in preparing management presentations, meetings with personnel and external visitors and receive external visitors of the HR department.

  • Coordinate recruitment process for candidates visiting Eurofins locations. This includes but is not limited to:

    • Partner with hiring team and candidates to obtain scheduling availability.

    • Confirm schedules for hiring team and provide supplemental paperwork to hiring team members.

    • Provide supplemental paperwork to job applicants prior to interview day.

    • Keep updating on candidates files and status.

    • Respond to general inquiries from candidates.

  • Coordinate onboarding process for new hires:

    • Partner with HR Business Partners, operational team and new hires to organize their integration period.

    • Coordinate the preparation of necessary materials (laptop, phone, etc) for new joiners.

  • Car fleet management:

    • Maintain contacts with external parties.

    • Respond to general inquiries regarding the fleet.

  • Collect data for the monthly reports to the Group HR Manager.

  • Cooperate with the accounting department for the invoicing process.

  • Draft, edit & layout of texts (correspondence, invitations, reports and contracts).

  • Internet research.

  • Optimization and organization of filing (paper and electronic).

  • Support / back-up of the reception tasks and office support: welcome and reception of visitors, central phone, set up of meeting rooms, visitor’s lunches, etc.

  • You will work in a team of management assistants and will be reporting to the Group HR Manager.



  • You have a relevant working experience of 1 - 5 years in similar role in international environment.

  • Excellent command of the English language, good command of French language (written and oral). Dutch and German language is a plus.

  • Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, Internet Explorer etc.).

  • Pro-activeness.

  • Good attention to detail and natural ability to work accurately.

  • Flexible (multi-tasks).

  • Discrete and used to maintain high level of confidentiality.

  • Team player and enjoying work in a team in a high level, international, fast growing environment.

  • Excellent interpersonal skills and communication strength.
